Illustrative example
In short
Billing & Vendor Accounts is accounts receivable for your own trade customers: the bar on 30 days, the contractor on account, the office you feed every Friday. You invoice them, they pay you, and Esplanda keeps every balance current.
It is $49 per location per month, flat. Your twentieth house account costs nothing extra, and billing weekly instead of monthly costs nothing extra either.
What is in the $49
Most of a price list helps you spend less. This line helps you collect: money a customer already agreed to pay, for goods or work you already handed over.
A page of its own for each account. Whoever handles the money there sees every invoice, what is open, what is overdue and what is paid, and pays without calling you.
The Monday bar order, the Friday office lunch, the landlord's maintenance retainer: each standing order becomes a scheduled invoice that goes out on the day.
Issue and send invoices, record part payments and apply credits, in the same system as the sale each invoice came from.
An account with a stored mandate pays on the due date without being asked. The chase is gone, not just easier.
What is outstanding, by account and by how long: current, 30, 60 and 90 days. The report that turns a feeling into a number. Reminders go out on the schedule you set.
When an employer, a program or a fund pays part of an invoice: one invoice, two payers, each share billed and aged on its own, so you can see which of the two is late.
Who it is for
The test is simple: does anybody take goods or work from you today and pay you later? Then you already run accounts receivable, and this is the software for it.
| If you run | Your house accounts | What Billing & Vendor Accounts does |
|---|---|---|
| A liquor or wine store | Restaurants, bars and clubs buying cases on 14 or 30 days | The Monday order becomes a recurring plan, invoiced the day it goes out. More on our liquor store software. |
| A hardware or parts store | Contractors, property managers and facilities teams on 30 days | Every charge sits on the named account, with the account's own portal |
| A caterer or a restaurant with contracts | The offices you feed weekly, a school, a standing Friday lunch | One recurring plan replaces the invoice rebuilt by hand every week |
| A grocery or convenience store | A care home, a school kitchen, the site canteen that settles monthly | A running balance anyone on your team can read, not one person's memory |
| A clinic or health practice | An employer, an insurer or a program covering part of the cost | Subsidies split the invoice between the two payers and age each share |
| A salon, barbershop or trades business | A hotel, a landlord on a retainer, a corporate client | The retainer is invoiced on schedule, so the work is billed the week it is done. See service business software. |
A new account usually starts with an application; our online order form for small business turns that into the very record you invoice. Each account lives in the same customer file as our customer loyalty software, and the bills you pay your own suppliers belong in expense tracking software for small business.

Questions
Accounts receivable software tracks what your customers owe you and helps you collect it: invoices, payments, reminders and a report of who is late. Esplanda's Billing & Vendor Accounts does this for the businesses that buy from you on terms, with a portal for each account, recurring plans, autopay, an aging report and Subsidies.
$49 per location per month. That covers the account portal, recurring plans, invoices, payment recording, autopay, the aging report and Subsidies, with no per-account fee, no per-invoice fee and no percentage of what you collect. There is no setup fee and no contract.
You billing your customers. This is accounts receivable for your own trade accounts, such as the restaurant buying cases on terms or the office on a monthly catering plan. Your own Esplanda bill is in your account settings.
A Subsidy is when a third party, such as an employer, a program or a fund, pays an agreed share or amount of an account's invoice and the account pays the rest. The invoice stays one invoice, each share is billed to its own payer, and each share ages separately, so you can see which of the two is late.
A page of its own for each account, where whoever handles the money at that business sees every invoice, what is open, what is overdue and what has been paid, and pays without calling you. The invoice that sat unpaid because the approver lost the email gets paid from the portal.
It sends reminders on the schedule you set and shows exactly who is late and by how long. How firmly to press a customer you have known for fifteen years stays your call, made with the facts in front of you.
Esplanda's team does it with you. Tell us when you start, and your existing accounts, their terms and their open balances come across with our help, so your first aging report starts from the real numbers.
It records what you invoiced and what you were paid. The books themselves, with receipts, supplier bills and the profit and loss, are Books & Expenses, and tax filing and advice stay with your accountant.
