What it costs

What a POS system costs with Esplanda

The register, the website, card processing and the paid tools, in dollars.

How much does a POS system cost per month?

With Esplanda, the POS system is $0 a month, and hosting your website is free. Online orders are 99¢ each, never more than $299 in a calendar month, and every other tool has its own price, from $29 to $699 per location per month. As illustrative arithmetic for one location: 68 online orders come to $67.32 for the month with no paid tool. Add Marketing — Do It Yourself at $199, Competitor Intelligence at $299, AI Chat and Order Helper at $29 (its price after the first 90 free days) and Employee Scheduling and Attendance at $49, and the month comes to $643.32. A business that takes no online orders pays nothing for the register and the website.

Is the Esplanda POS really free, or free for a year?

It is $0 a month with no end date, no minimum term and no introductory period. That covers the register software on every station, moving your products, customers and suppliers out of your old system, and 30 days of running both systems side by side. The hardware for your kind of store and its freight are free too, up to about $3,455 a location, when your projected card processing with Esplanda clears our threshold; below it, you buy the same hardware at list price, with the sums shown first. It also includes loyalty and gift cards, purchasing and invoice capture, merchandising and assortment, demand forecasting, multi-location, supplier intelligence, the daily owner brief and how you compare with similar businesses.

What is the catch with a free POS?

The business model is simple. The register is free because Esplanda would like to process your card payments, and the website is free because online orders carry a 99¢ fee. Both are your choice: the free register runs on the card processor you already have, at the same prices, and the free website costs nothing until it takes an order. Esplanda also offers paid tools, each one on its own, for the jobs you want done.

Do I have to switch my card processor to use Esplanda?

No. The register, the website and every paid tool run on the processor you already have, at exactly the same prices. Three things change if you process with Esplanda: phone support is $0 a month instead of $129, every extra location carries no multi-location charge instead of $49 a month, and the hardware for your store is free, up to about $3,455 a location, once your projected processing clears our threshold. If processing moves elsewhere, phone support and the location charge return at the next billing date, with 30 days' notice.

What does card processing cost with Esplanda?

The published rates are 2.79% plus 10¢ per in-person transaction and 2.89% plus 30¢ per online transaction, and your rate is set when First American approves your account, from your current statement. Esplanda processes card payments as a reseller for First American Payment Systems, a Deluxe company, which approves, funds and owns your merchant account. Processing is optional, and every software price is the same on any processor.

How much does AI phone answering cost?

AI Phone is $149 per location per month and answers your business line as a receptionist and order taker, with 500 answered minutes a month included and then 20¢ a minute, with a hard ceiling at 1,000 minutes unless you approve a top-up. Chat on your website is its own tool, AI Chat and Order Helper, at $29 a month, and its first 90 days are free. Phone support for you as the owner is a different line: $129 a month, or $0 while you process card payments with Esplanda. The full AI receptionist cost, minute by minute, has its own page.

How billing works

Billing, changes and support

The order fee and its cap, canceling, your data, more locations and who you can call.

How does the 99¢ order fee and the $299 cap work?

You pay 99¢ for each online order, and never more than $299 in a calendar month. You are billed whichever is lower, automatically, so there is no plan to pick. At 302 orders in a month, 99¢ each comes to $298.98; from the 303rd order on, the $299 cap applies and every further order that month adds nothing. It is a flat fee per order, never a percentage, so a large order and a small one cost the same 99¢.

What if I do not want any paid tools?

Then you run your business on Esplanda for $0 a month plus 99¢ per online order, and that is a fully supported way to be an Esplanda customer. The register, the website, everything inside the free register and email and chat support all come with no paid tool attached. Nothing on the paid list is required by anything on the free list, so you can add a tool in month four instead of month one. One rule applies to a website-only account: with no Esplanda register and under ten online orders a month across a trailing 90 days, the account moves to read-only. The site stays up and you keep and can export all of your data, but the order path closes.

Can I cancel, and how does changing tools work?

Everything is month to month, with no contract and no setup fee. Each paid tool is canceled on its own without touching the others, and the change applies from the next billing cycle. The free register and the free website have no term at all. One change happens by itself: Grow My Business contains Marketing — Do It Yourself in full, so moving up to $699 stops the $199 tool the same day, and moving back down works the same way in reverse.

What happens to my data if I leave?

You can export all of your data at any time, whether or not you are leaving: products, customers, sales, purchase orders and suppliers. If you leave, you take everything with you, with no exit fee and no export charge.

Do you charge per location?

The register is free on every station and every location. Multi-location software carries no charge on any location that processes card payments with Esplanda, and a location that does not is $49 a month. Paid tools are priced per location per month, so a second location that wants Competitor Intelligence, our price monitoring software, pays its own $299. Users are never metered: adding a manager, a bookkeeper or a second owner costs nothing.

Is support included, or do I pay for it?

Email and chat support are free to everyone, including an owner who buys no paid tool. Phone support, a phone line to Esplanda for the owner, is a separate tool at $129 a month, and it is $0 for as long as you process card payments with Esplanda. If processing moves elsewhere, it returns to $129 at the next billing date, with 30 days' notice, and email and chat stay free in every case.

The 12-month promise

For 12 months your software bill will be lower than what it replaces, or we refund the difference.

Your software bill is the 99¢ order fee plus every paid tool you take, counted from your first full billing month. What it replaces is the software subscriptions on your own invoices from the month before you switch. It is settled once, at the 12-month mark, from your invoices and ours, and any difference is paid back in cash, up to the 12 months of software you paid us. Card processing, ad spend, text carrier fees, the marketplaces’ own commissions and hardware sit outside the promise.

Worth knowing

Four things that change a bill

Each one is told to you before you buy, not discovered on an invoice.

  • The $10 website has a 12-month check

A website with no ordering is $10 a month. After 12 months with no order path and no paid tool, it moves to $39 with 30 days' notice, and the signup flow tells you so on day one. See the static website.

  • Marketplace Connectivity starts at $2,000 a month

At $69 a month, it is sold to businesses doing $2,000 a month or more on Uber Eats and DoorDash, where it protects real margin, and not sold below that. In beverage alcohol it is offered only after legal sign-off. See the DoorDash integration cost and online ordering.

  • Grow My Business is run by software

At $699 a month, Esplanda’s software runs your marketing against the revenue goal you set, with Marketing — Do It Yourself inside it. Ad spend inside either tool stays on your own card, never marked up, up to $10,000 a month. See marketing automation.

  • Books and payroll stay with your people

Books and Expenses at $99 works alongside your accountant, and Employee Scheduling and Attendance at $49 hands clean hours to the payroll provider you already use. See staff scheduling software and our time clock app for small business.
