$99 per location per month includes 300 receipt and supplier-bill documents a month, unlimited profit and loss periods and a rolling 13-week cash forecast. Esplanda prepares the books; tax filing and tax advice stay with your accountant.

  • 13-week cash forecast
  • Clean books for your accountant

What it does

From the shoebox to current books

Bookkeeping has a data-entry half and a judgment half. Books & Expenses does the data-entry half every day, so the receipts are never the job waiting for Sunday night.

  • Snap it or forward it

A phone photo at the counter, or a supplier invoice forwarded to one address. That is the whole act of capture.

  • Read and coded

Supplier, date, total, tax and line items. The category follows how you have coded the same kind of expense before, so the books look like yours.

  • Matched to the order

Each supplier bill is checked against what you ordered and what arrived, so a wrong case price or a short delivery shows up before it is paid. Our invoice scanning software reads the bill.

  • A P&L any day you ask

Any period, any time, built from the sales your register already records. Unlimited periods, with no counter on asking. More on POS reporting.

  • 13 weeks of cash ahead

A projection, labeled as one: what is due out against what your own sales history says is coming in, so you know early whether the week a big bill lands is a week you can afford it. If it is tight, small business financing shows the total repaid before you sign.

  • Money moves only with you

A bill that is due, a coding Esplanda is unsure of, a number that looks wrong: each one waits for you. Books & Expenses never pays a supplier or posts an adjustment on its own.

Questions

Expense tracking questions owners ask

What is expense tracking software for small business?

Expense tracking software captures what a business spends, sorts each cost into a category and keeps the totals current. Esplanda's Books & Expenses reads receipts and supplier bills from a photo or a forwarded email, codes them, matches each bill to the order it belongs to, and builds your profit and loss from the same sales your register records.

How much does Books & Expenses cost?

$99 per location per month. That includes 300 receipt and supplier-bill documents a month, unlimited profit and loss periods and a rolling 13-week cash forecast. There is no setup fee, no contract and no per-user fee, and Esplanda POS itself is free.

Does Esplanda file my taxes?

Filing stays with your accountant. Books & Expenses prepares a clean, coded, matched set of records and a profit and loss statement, which is what your accountant needs from you at tax time. Esplanda submits nothing to a tax authority and signs nothing on your behalf, and tax advice comes from your accountant.

Does this replace my bookkeeper?

It takes over the data-entry half of bookkeeping: reading receipts, coding them and matching bills to deliveries, every day instead of once a month. Year-end work, payroll filings and anything that needs a professional opinion stay with your bookkeeper or accountant, who now starts from books that are already clean.

What happens after 300 documents in a month?

Capture pauses, Esplanda tells you, and a top-up waits for your approval, so the bill never grows on its own. Unlimited profit and loss periods and the 13-week forecast carry no meter at all. If your business runs close to 300 documents a month, mention it when you book a demo.

What is the 13-week cash forecast?

A rolling projection of what is due out against what is expected in, thirteen weeks ahead. Due out comes from the supplier bills already captured and the recurring costs you record; expected in comes from your own sales history. It answers the everyday question of whether the week a large bill lands is a week you can afford it.

Can it pay a bill or move money on its own?

No. Books & Expenses tells you a bill is due, shows a coding it is unsure of and points out a number that looks wrong, and every one of those waits for you. It never pays a supplier, transfers money or posts an adjustment to your books on its own.

Does it work with the accounting software I already use?

Yes. Books & Expenses feeds your ledger rather than replacing it: the statements, expense detail and transactions export as CSV and as a categorized general-ledger summary your bookkeeper or accountant can use.
